Overview

The Resource & Project Manager plays a pivotal role in partnering with department leads, specifically the Executive Creative Director, Strategy and Project Management Director, to ensure projects and campaigns are staffed to successfully complete assigned work. The Resourcing Manager proactively engages the PM team to understand the overall ask in terms of project objectives and deliverables to staff appropriately. The Resource Manager will help create enterprise efficiencies and strive for cost reductions identifying the right resource for the work and partnering with the department leads to forecast contract staffing needs.  As a PM, this person engages with all team members as the communication hub, and at times the client, to gather information and understand the overall ask in terms of project objectives and deliverables. This role will be both PM and Resource Manager.  

Duties/Responsibilities

  • Manage and coordinate the resourcing of strategic, creative and production talent for all client projects in all divisions to ensure each staff member is utilized to maximum effectiveness
  • Evaluate available resources against project objectives to correctly staff assignments
  • Anticipate and mediate workflow problems as identified by team members
  • Attend weekly resource meetings and facilitate all needs
  • Manage all facets of assigned campaigns and projects from kickoff through delivery. Including, but not limited to: resourcing planning, project estimating, project plan / milestone / timeline development, budget / scope management
  • Own and maintain assigned status sheets to ensure information is up to date for weekly meetings
  • Maintain knowledge of current and upcoming assignments, as well as generate project task reports via our resourcing tool (Workamajig)
  • Manage vacation and other out of office calendar needs for team members
  • Ensure contract staff NDAs, project contacts and invoices are up to date, maintained and onboarded/offboarded appropriately
  • Constantly strive to improve output by ensuring team members have the tools needed to operate effectively and efficiently
  • Monitor and develop process for team members to ensure adherence to good business practices when dealing with internal and external clients
  • Other duties as assigned

 

Required Skills/Abilities

  • Intimately familiar with a range of strategic and creative deliverables from branding to print to websites to fully integrated campaigns
  • Significant understanding of associated tasks required to produce digital deliverables
  • Lives to bring control to the messy, chaotic, uncertain, changing environment of staffing projects
  • Possesses strong communication skills with ability to work with and influence multiple personalities across different job functions to build trust and respect with team members
  • Has an obsessive attention to detail when communicating across internal and external stakeholders so nothing is missed or overlooked
  • Has a strong ability to multitask and prioritize their day to day responsibilities, keeping in mind how their work impacts other people’s ability to perform their jobs
  • Remains calm in high pressure situations maintains a sense of humor
  • Ability to be diplomatic or firm when necessary
  • Familiarity with Workamajig
  • Advanced proficiency with Microsoft Office and Google Suite

Education and Experience

  • Bachelor’s degree in Business, Marketing, or related field or equivalent experience & education
  • 2+ years of resource or project management in a creative agency environment 
  • 2+ years of project management in a creative agency environment
  • Demonstrable success in resource management 
  • Work-related experience in regulated industries (e.g. healthcare or banking industry) preferred
